Educational Records & FERPA Adherence
NursePathway respects and strictly enforces the Family Educational Rights and Privacy Act (FERPA). Educational records—including past academic transcripts, course evaluation memos, clinical hours logs, and graduation verification forms—are confidential. These records are only accessible to authorized academic evaluators, university registrar personnel, and the student. Third parties may not access these records without explicit written student consent, except where mandated by state licensing boards or legal subpoena.
Collection, Storage & Security of Student Transcripts
When you submit academic transcripts, diplomas, and syllabi for evaluation, your documents are ingested into a secure, encrypted document repository. Only credential evaluators assigned to your case have access to your file. We utilize military-grade 256-bit SSL/TLS encryption for all document transmissions, ensuring that sensitive personal identifiable information (PII) such as dates of birth, student IDs, and academic histories remain safeguarded.
Primary-Source Transmission to State Boards & NCSBN
When official transcripts are requested by State Boards of Nursing, Pearson VUE, or CGFNS, documents are transmitted directly from the partner college's Office of the Registrar via secure electronic transcript exchange networks (such as Parchment or the National Student Clearinghouse). Transcripts sent in sealed physical envelopes bear the university's embossed registrar seal and secure tamper-evident tape.
Clinical Residency Health & Immunization Records
Students completing acute-care hospital rotations must submit background checks, drug screenings, and health immunization records (Hepatitis B, MMR, Varicella, TDAP, TB screening). These health records are stored in a dedicated, HIPAA-compliant repository separate from academic coursework files and are released solely to the authorized hospital clinical placement coordinator for pre-rotation clearance.
Student Rights to Inspect & Amend Academic Files
Under FERPA, enrolled students maintain the right to inspect and review their educational records maintained by our partner collegiate registrar. If a student believes their academic record contains inaccuracies or misleading information, they may file a formal Request for Record Amendment with the Office of the Registrar. A formal review and written determination will be provided within 30 business days.
Digital Communications & WhatsApp Advisory Inquiries
When you contact our advisory council via WhatsApp, phone, or website evaluation forms, your contact details are used exclusively to provide academic guidance, audit updates, and enrollment support. You may opt out of SMS or WhatsApp advisories at any time by replying 'STOP'. We do not participate in robocalling or automated unsolicited marketing.
Permanent Archiving & Record Retention Calendar
In accordance with regional accreditation standards and state higher education mandates, collegiate partner registrar offices maintain permanent academic transcript archives. Even decades after your graduation, your completed coursework and NCLEX verification records remain permanently accessible for future hospital credentialing, graduate school applications, and interstate compact endorsements.
